If your contact CRM is not integrated with ActivePipe, it’s easy for you to upload and manage your contacts within your account.
Start by compiling your contact list, either by exporting this from your CRM, or a manually built spreadsheet. Make sure your file is saved as a .csv file.
We recommend you upload at a minimum a contacts first name and an email address (for email users) or sms (for sms users), but you can map many other fields and attributes if you wish to.
Once you are in your ActivePipe account, start by navigating to the Contacts menu.
From here:
- Select Add Contacts
- From the dropdown you can choose to either Create (a single) Contact, or Import Contacts.
To upload a CSV file choose Import Contacts.
- Then either drag and drop in your CSV file;
- Or click the click here to select the file from your computer link to locate it on your local computer, select it, and click Open
Once your CSV is selected you will see Your file is ready for import! (If the filename mentioned is incorrect, use the Select a different file from your computer link to re-select it).
- Select Import Contacts
ActivePipe will then scan your data, and will firstly ask you to Verify your Fields:
- Check that the columns in your file (Your Column (CSV)) are being correctly matched to the Field to save value to in ActivePipe, e.g: "First Name" in your CSV, matches the "First Name" field in ActivePipe.
- All standard and previously created custom fields should automatically be matched, however if any are not, or if they are incorrect, correct the matching by selecting the relevant dropdown box under Field to save value to:
- From the dropdown of options, including Fields, Preferences, Custom Fields* and Other, select the appropriate field to map your column to.
- If your CSV column is not a standard or existing custom field you can also create a new Custom Field to map the column.
- You can also map a CSV column as contact tags at this stage.
- Once you have verified and/or mapped all your fields, click Continue
If you have any incompatible data, e.g: the dates in your "Birthday" column are not in a recognised date format, or are inconsistent, you may see a warning, asking you to either go back and Ignore the listed column/s to proceed, or cancel the upload so that you can correct your data and re-upload your CSV. Find out more about compatible formats here.
- Next, you will be asked to review your contacts. Look over the sample records displayed to check everything looks correct.
- At this stage you also have a few additional options:
-
Add Tags to new contacts:
- Tick this and in the box that appears below start typing in an existing tag.
Select it from the dropdown matches. - OR tick this and type in a new tag.
- Tick this and in the box that appears below start typing in an existing tag.
-
Add Tags to new contacts:
-
Unsubscribe all contacts that are not in this import:
- Tick this box if all your subscribed contacts are contained in your import, and you don't want to communicate with anyone outside of it.
-
Trigger subscription events for new contacts:
- Tick this to connect to running campaigns triggered by subscription, e.g: the Welcome Email.
Note: The campaign with the subscription trigger needs to be Running prior to your CSV upload.
- Tick this to connect to running campaigns triggered by subscription, e.g: the Welcome Email.
It’s also important to know that if you are re-uploading existing contacts, ActivePipe will automatically recognise them (based on email address) and update them, rather than duplicate them.
- Once you have checked the sample and selected any additional options, click Finish Importing
ActivePipe will complete the upload (this may take a little time if you are uploading thousands of contacts), and provide you with an Import Overview.
The overview provides you details on the:
-
- Total: The total number of contacts uploaded in this import.
- New Contacts: Those that have not been uploaded to this account before.
- Updated Contacts: Existing contacts that has been updated.
- Skipped Contacts: Contact records that were not imported. Details can be found below the overview, in the Skipped Contacts table. This data can also be downloaded for follow up.
- Skipped Data: Contacts that were imported, but some of their data was not. Details can be found within the Skipped Data table. These details can also be downloaded for follow up.
You can navigate back to the Contacts Overview tab to see your updated totals, and select the Contact List tab to see your new and updated contacts in detail.
